Privacy Policy
1. Who we are
canadaimmigrationdiy.com is operated by Fly2Canada Immigration Services Ltd., 838 W Hastings St, Unit 700, Vancouver, BC V6C 0A6. Our Privacy Officer is Crystal Jing Chen, RCIC. Verify my licence on the CICC public register (register.college-ic.ca). Contact: askcrystal@canadaimmigrationdiy.com.
2. What this policy covers
This policy explains how we collect, use, share and protect personal information through this website, our online forms and booking pages, and our consultations. We follow British Columbia's Personal Information Protection Act and, where it applies, Canada's federal privacy law (PIPEDA). As a licensed immigration consultant, Crystal Jing Chen, RCIC, is also bound by the confidentiality duties in the CICC Code of Professional Conduct.
3. What we collect
- What you give us: your name, email, phone number and the details you enter in our assessment form or booking form, such as your immigration goals, education, work history, language test results, family situation and questions. If you book a document review, the forms and documents you email to us.
- Payments: card payments are processed by Stripe. We see the payment result, not your full card number.
- Consultations: with your consent, the Zoom recording of your session and an AI-generated meeting summary.
- Website visits: your browser type, device, pages viewed, the site that sent you and your approximate location. Our website host records basic technical data, such as your IP address, to deliver and protect the site. Google Analytics collects usage data through cookies only if you accept analytics cookies.
4. How we use it
- To answer your questions and review your free assessment.
- To schedule, confirm and remind you of consultations, and to send you your copy of the consultation agreement.
- To give the advice you booked and to keep the records our regulator requires.
- To understand how visitors use this website and improve it.
- To send you newsletters or offers only if you ticked the marketing box. You can unsubscribe from any email at any time.
We do not sell your personal information.
5. Your consent
We ask for your consent when you submit a form or book a session, through the checkboxes on those pages. Marketing consent is separate and optional. You may withdraw consent at any time by contacting our Privacy Officer; if you withdraw consent that a service depends on, we may not be able to provide that service.
6. Text messages (SMS)
If you agree to receive text messages, we send booking confirmations, schedule changes and reminders only. Message frequency depends on your bookings, and message and data rates may apply. Reply STOP to unsubscribe or HELP for help. We do not share your mobile number or your SMS consent with third parties or affiliates for their marketing purposes.
7. Who we share it with
We share personal information only with service providers who help us run our business, and only as much as they need:
| Service | What it does for us |
|---|---|
| GoHighLevel (LeadConnector) | Forms, booking calendars, email and SMS, client records |
| Stripe | Card payments |
| Zoom | Video consultations and recordings |
| Fathom | AI meeting summaries |
| Google Workspace | Email and document storage |
Some of these providers store data outside Canada, mainly in the United States, where it may be accessible to authorities under local law. We share information with immigration authorities only on your instructions, and with others only where the law requires it.
8. Cookies and analytics
We use Google Analytics to count visits and see which pages help readers. Analytics cookies are set only if you accept them in the cookie notice. You can block or delete cookies in your browser settings, or install Google's Analytics opt-out browser add-on; the site works fully without them.
9. How we protect it
We limit access to the people who need it, protect our business accounts with strong passwords, and use encrypted connections. Email is not fully secure, so please do not send identity documents unless we ask for them.
10. How long we keep it
- Inquiries that do not become consultations: 2 years after our last contact.
- Client files from consultations and reviews: 7 years.
- Consultation recordings: 1 year, then deleted.
11. Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw consent. Write to our Privacy Officer; we reply within 30 days. We may withhold information that is legally privileged or that would reveal another person's information, and we will tell you why.
12. Questions and complaints
Contact our Privacy Officer first at askcrystal@canadaimmigrationdiy.com. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
13. Other websites
Our pages link to other websites, such as IRCC. Their privacy practices are their own; please read their policies.
14. Changes to this policy
We will post any update on this page and change the date at the top.
